Quick answer

When payroll is at risk, calculate the exact gap including PAYG and payday super, chase any money due before payday, arrange fast funding early in the day, tell staff honestly if there is any risk and then fix the timing cause. With bank statements ready, approval within the hour is common and funds can land before the pay run.

Key points

  • Know the exact gap, including PAYG and super
  • Enquire early in the day before payday
  • Be honest with staff if timing is at risk
  • Fix the cause once payday is safe

Payroll is the bill no business owner wants to miss. Staff rely on it, awards and agreements set rules about it, and trust is hard to rebuild once a payday slips. When the numbers do not add up, a calm, step-by-step plan works far better than panic. Here is the playbook.

Three days before payday

Calculate the exact gap. Add net wages, PAYG withholding and, since 1 July 2026, the super that must reach funds within 7 business days of payday. Subtract cash on hand and money you are confident will land before the pay run. The how much do I need planner adds a buffer.

Chase receivables. Call customers with invoices due. Ask for a specific payment date. A single large payment can close the gap.

Look at the next few weeks. Run the cash flow gap calculator. Is this one pay run or the start of a pattern?

Two days before payday

Arrange funding if needed. Enquire early in the morning with bank statements ready. Fast payroll funding is usually unsecured and sized on statements. Approval within the hour is common, leaving plenty of time.

Check your payroll system. Make sure the pay run is ready to process as soon as funds land.

Ready to move? Check your options in 60 seconds. Nothing is sent to a list of lenders.

What the next 24 hours can look like

Stage Typical timing What speeds it up
Enquiry About 60 seconds Accurate figures for amount and revenue
First call Minutes, in business hours Answering an unknown number
Approval As fast as 15 minutes, commonly within the hour Statements via a secure bank link
Signing Same day Directors and guarantors on standby
Funds Within 24 hours possible Payee details ready, including the ATO or supplier

The day before payday

Confirm funds. Check the money has arrived or is on its way. If anything is uncertain, tell the lender the exact time payroll must be processed.

Talk to staff if there is any risk. If wages might be late, tell your team before payday. Be specific: “Wages will be in your accounts by midday Friday.” Honesty preserves trust far better than silence.

Payday

Process payroll. Pay wages, withhold PAYG and lodge payday super on time.

Thank your team. If the week was stressful, a short acknowledgement goes a long way.

The week after

Fix the cause. Common causes and fixes:

Cause Fix
Customers paying slowly Shorter terms, deposits, prompt invoicing, invoice finance
Seasonal dip Line of credit set up in the strong months
Underpricing Review margins against true labour costs
Tax and super timing Separate accounts for GST, PAYG and super
One big customer Diversify where possible

A worked example (illustrative)

A café group with 30 staff realises on Tuesday that Thursday’s payroll of about $52,000 is $21,000 short because a catering client has delayed payment. The owner chases the client, who confirms payment next week, then enquires on Wednesday at 8am. She is approved by 9am and funds land before lunch. Thursday’s payroll runs on time, and she sets up a line of credit for future gaps.

Payday super changes the maths

Under payday super, super leaves the account with every pay run instead of quarterly. Businesses that used the quarterly float as working capital may feel tighter after 1 July 2026. Build super into every payroll forecast.

Know your obligations

Awards and agreements set out when and how employees must be paid, and the Fair Work Ombudsman publishes guidance on pay obligations. If you think you may be unable to pay on time, check what applies to your staff and get advice. Being late, even by a day, can have consequences beyond the inconvenience to your team.

Make the next payday boring

The goal of the playbook is to make payday uneventful. A modest buffer, a line of credit and a weekly look at the next month’s cash flow turn payroll back into a routine task. Most of the businesses we see in a payroll crunch are healthy; they simply did not see the timing problem coming. A ten-minute weekly check fixes that.

Documents that speed things up

Most delays come from documents that are not ready when they are asked for. Line these up before you enquire:

  • Exact payroll total, PAYG and super
  • Bank statements ready to share
  • List of receivables due before payday
  • Payroll system ready to run

Common delays and how to avoid them

Avoid these and you avoid most of the waiting:

  • Waiting until the afternoon before payday
  • Not including super
  • Silence with staff
  • Ignoring the cause after the crisis
  • Fast payroll funding: Fast payroll funding to pay wages, PAYG and payday super on time when customer money is late. Approval within the hour common, funds in as little as 24 hours.
  • Need cash by tomorrow to pay wages?: Payroll due tomorrow and the money is not there? What to do today, how fast wage funding can land and how to make sure staff are paid on time.
  • Need to pay super on time under payday super?: From 1 July 2026, super must reach funds within 7 business days of payday. How to cover payday super when cash is tight, and how fast funding can help.
  • Fast business line of credit: A fast business line of credit gives you a standing limit to draw, repay and redraw. Set it up quickly and the next cash crunch is not an emergency.
  • Cash flow gap calculator: Eight weeks of money in and out, showing your lowest week and the size of the gap.

Terms used in this guide

  • Guarantor: a person who agrees to repay the loan if the borrower cannot.
  • Payday super: from 1 July 2026, super must reach employees’ funds within 7 business days after payday.
  • Line of credit: a standing limit you can draw, repay and draw again, paying mainly for what you use.
  • Invoice finance: funding advanced against unpaid invoices owed by your business customers.
  • Unsecured loan: a loan without property security, sized mainly on turnover and bank statements.

Check these before you commit

  • Exactly what do you need from me to release funds today?
  • Who needs to sign, and how will documents arrive?
  • What is the total cost over the full term?
  • Can the payment go directly to the creditor I need to pay?
  • What happens if my repayment source arrives late?

The fastest enquiries have one thing in common

Think of the enquiry form as the brief for your loan. The clearer the brief, the faster the work. Give the amount you actually need, the revenue your statements will show, an honest credit picture and whether property is available. That lets a real person match you to the right option on the first attempt instead of the third.

Quick recap

  • Know the exact gap, including PAYG and super
  • Enquire early in the day before payday
  • Be honest with staff if timing is at risk
  • Fix the cause once payday is safe

From enquiry to funds

Here is the usual rhythm. You enquire in about 60 seconds. A person calls, often within minutes during business hours, to confirm the details and the deadline. Statements are shared through a secure link or property details are confirmed. Approval follows, sometimes within 15 minutes and commonly within the hour. Loan documents arrive by email for electronic signing. Once every borrower and guarantor has signed and the conditions are met, funds are released, often the same day or first thing the next business day.
